Refund Policy — My Physics Buddy

This page sets out MPB’s complete refund policy for tutoring sessions. We aim to make our policy clear, fair, and consistently applied. If you have a question not covered here, contact care@myphysicsbuddy.com.
General Principle
Full payment is required before any session begins. This is because our tutors prepare for sessions in advance and hold time slots exclusively for the booked student. In exchange for this requirement, we offer a clear and generous refund schedule for cancellations and a commitment to replacement or refund for sessions that do not meet our standards.
Cancellation Refunds
Refunds for cancellations are calculated from the scheduled session start time:
- Cancelled 48 hours or more before the session: 100% refund
- Cancelled between 24 and 48 hours before the session: 90% refund
- Cancelled less than 24 hours before the session: 80% refund
- Student no-show (session missed without any cancellation): 50% refund
To cancel, contact us via WhatsApp (+91 8971 383660) or email care@myphysicsbuddy.com before the session start time. The cancellation timestamp is the time we receive your message.
Tutor No-Show
If your tutor does not join the session within 15 minutes of the scheduled start time and has not contacted you with an explanation, this counts as a tutor no-show. You are entitled to either:
- A full refund of your session fee, or
- A free replacement session with the same or an equivalent tutor at a time of your choice
Contact us immediately via WhatsApp or email and we will arrange your choice promptly.
Session Quality Refunds
If you are dissatisfied with a session for any substantive reason — the tutor was not at the expected level for your subject, the session did not address what was agreed, or the delivery was significantly below standard — contact us within 24 hours of the session end time.
We will review the case and offer either a replacement session with a different tutor or a partial or full refund depending on the specific circumstances. We take quality complaints seriously and aim to resolve them within 5 business days.
To raise a quality concern, email care@myphysicsbuddy.com with the subject “Session Quality — [Your Name] — [Date]”. Include a description of what was agreed and what fell short. The more specific you are, the faster we can assess and resolve the issue.
$1 Trial Session Refunds
The $1 trial session is fully refundable if you are not satisfied for any reason. Contact us within 24 hours of the trial session and your $1 will be returned to the original payment method without any conditions.
Non-Refundable Circumstances
Refunds are not available in the following situations:
- The session was delivered as agreed and the student attended but is dissatisfied solely with their exam result or grade outcome (we cannot guarantee academic results)
- The student cancels after the session has already been delivered
- The student provides incorrect requirements at booking and the tutor delivers a session based on those requirements accurately
- The session was disrupted by the student’s own technical issues (internet connection, device failure) where the tutor was present and ready to proceed
- Refund requests submitted more than 48 hours after a completed session (except for quality complaints submitted within 24 hours)
How to Request a Refund

- Use the subject line “Refund Request — [Your Name] — [Session Date]”
- Include your name, the session date, the subject, and the reason for the refund request
- We acknowledge refund requests within 24 hours
- Valid refunds are processed to the original payment method within 5–7 business days
Refund Processing Times by Payment Method
- PayPal: 3–5 business days to appear in your PayPal balance or card statement
- Credit or debit card (via PayPal): 5–10 business days depending on your card issuer
- UPI: 1–3 business days
- Indian bank transfer: 3–5 business days
- International bank transfer: 5–10 business days depending on the banks involved
Escalation
If your refund request is not resolved to your satisfaction within 7 business days, escalate to pankaj@myengineeringbuddy.com. Pankaj Kumar is the final authority on all refund disputes at MPB.
